Export RFQ Checklist: Buyer, Incoterms, Documents and Payment

Prepare a clearer export RFQ with buyer and supplier verification, specifications, Incoterms, compliance, shipment milestones and payment risk controls.

An export lead becomes actionable when product, quantity, destination, delivery term, compliance and payment expectations are specific. A vague requirement creates price comparisons that are not truly comparable.

Qualify both sides of the transaction

Verify the buyer and supplier legal identity, operating history, authorised contact and relevant registrations. Check whether the product and destination introduce licences, standards, sanctions or other restrictions.

Avoid relying only on an email domain, online profile or urgency. Commercial and compliance verification should match the value and risk of the transaction.

Write a complete RFQ

Include specification, grade, certification, packaging, labelling, quantity, tolerance, inspection, sample expectation, destination port or address and required timeline. State the Incoterm and version so responsibility for cost and risk is clear.

Compare offers on the same currency, quantity, quality, delivery basis and validity period. Record exclusions and assumptions.

Control payment and shipment evidence

Choose payment and risk controls appropriate to the counterparties and transaction, with advice from authorised banking, legal and trade professionals where necessary. Do not treat a payment screenshot as final settlement evidence.

Track order, production, inspection, dispatch, transport documents, customs milestones, delivery and reconciliation. Changes should be approved and documented.

COMMON QUESTIONS

Before you proceed

Why is the Incoterm important in an RFQ?

It allocates delivery responsibilities, costs and risk; without it, two prices may cover very different scopes.

Does an online buyer profile prove the order is genuine?

No. Verify legal identity, authority, requirement, commercial terms and appropriate payment controls.
